Where these numbers come from
- Minutes per verification. CAQH Index, 2024 report: dental providers could save about 8 minutes per eligibility and benefit verification by moving from manual checks to fully electronic ones. The calculator uses that as the time a check takes. The same report puts the provider cost per dental check at $6.52 manual, $4.37 partly electronic (portals) and $2.53 electronic.
- Wage. BLS Occupational Employment and Wage Statistics, offices of dentists: receptionists and information clerks in offices of dentists earned a mean of $20.41 an hour in May 2023.
- Payroll taxes and benefits. BLS Employer Costs for Employee Compensation, by establishment size: in June 2026, private employers with 1 to 49 workers paid $9.76 an hour in benefits on $27.88 in wages, about 35% of wages.
- Appointments and share verified. Examples only. Use the numbers from your own schedule.
- How it adds up. Hours per week: appointments × share verified × minutes ÷ 60. Your team: hours × 52 weeks × wage × (1 + benefits). A virtual assistant: hours × 52 weeks × $10.
What drives the cost of verification
Three numbers do most of the work: how many patients you verify, how long each check takes, and what you pay the person doing it. Minutes per check matter most. An electronic eligibility response can confirm coverage in seconds, but a full breakdown with frequencies, history and limitations usually still means a payer portal or a phone call.
The CAQH Index found that moving a dental eligibility and benefit check from manual to fully electronic saves about 8 minutes, which is why the calculator starts there. If your team verifies by phone more often than by portal, your real number is likely higher.

How to read your result
The big number is time, not money, because time is what your front desk runs out of first. Every hour spent on hold with a payer is an hour nobody is greeting patients or answering the phone.
Under 5 hours a week
Verification fits around other work. Focus on a consistent checklist so every breakdown captures the same fields.
5 to 20 hours a week
Verification is a part time job hiding inside other jobs. This is where checks start getting skipped on busy days.
Over 20 hours a week
Verification needs its own person. A dedicated assistant working through tomorrow's schedule every day keeps it from piling up.
Insurance verification cost questions
How long does a dental insurance verification take?
It depends on the payer and the channel. Confirming active coverage electronically takes seconds; a complete benefits breakdown with frequencies and history often takes several minutes in a portal and longer by phone. Time a handful of your own checks for the most accurate result.
Should we verify every patient?
Every patient with dental coverage, before every visit. Coverage can end in any month, and a missed change shows up later as a denied claim or a surprise balance. Our verification checklist lists what to capture.
Why include payroll taxes and benefits?
An hour of a team member's time costs more than the wage. BLS data puts benefits at about 35% of wages at small private employers, so leaving them out understates the real cost.
What would a virtual assistant cost for the same hours?
DentalCareWorks charges $10 an hour with no long term contract and no setup fees. The calculator multiplies the same hours by that rate; your practice pays no payroll taxes or benefits on the assistant.
